Privacy policy
- On a Standalone license, orders stay on the screen. They are not sent to our servers.
- Your POS decides what is on a kitchen docket. If you do not want a detail kept, remove it from the docket layout.
- We never receive card numbers. We do not sell personal information or use it for advertising.
About this policy
This policy covers UniKDS: the kitchen display app, the back office your dealer uses to support it, and this website. UniKDS is provided by mypreorder Pty Ltd (ABN 87 611 967 376), Australia.
This website sets no cookies and uses no analytics.
Who decides what happens to the data
There are two kinds of data, and the difference matters:
- Your customers’ details on kitchen dockets. Your venue decides what is collected, because it comes from your own POS. We only process it on your behalf, as your processor.
- Accounts, licenses and billing. We decide, and we are responsible for it, as a controller.
Venues in the EU or UK can rely on our data processing agreement.
What the system holds
Orders
A kitchen docket usually contains the order number, the items, any modifiers and any notes typed by staff. Depending on how your POS is set up, it may also contain a customer name, a table number or, for a delivery, an address. Your POS decides what is on the docket, not us.
- On a Standalone license (every license sold for Uniwell POS), orders are kept on the screen and are not sent to our servers.
- On other licenses, orders are also held on our servers so that several screens can show the same orders.
Kitchen dockets do not carry payment card details. If an online ordering platform sends orders to a screen, an order may record how it was paid, such as the name on the card and its last four digits. We never receive or store a full card number, expiry date or security code.
Staff and user accounts
- Kitchen staff: a display name and a PIN. PINs are stored hashed, never in readable form.
- Back-office users (your dealer and its distributor): name, email address and, if uploaded, a profile picture.
Devices and technical records
Each screen’s name, a device identifier, its app version and its address on your network. Sign-in records show when a session started, the network address it came from, an approximate city and region worked out from that address (never from GPS), and the browser or app used.
Diagnostic captures
Diagnostic capture helps your dealer fix a docket that does not display correctly. It is off unless someone turns it on. While it is on, the screen sends a copy of every docket it receives (the data from your POS, the image the screen drew, and the app’s logs), and a capture contains whatever was on the docket, including any customer details. The setting switches itself off after 48 hours.
Support reports
When someone taps Send to Support on a screen, it sends the app’s recent logs with the request. Email and network addresses in those logs are masked before they are sent.
How long it is kept
Each period below is enforced automatically.
| What | Kept for |
|---|---|
| Orders held on our servers (not Standalone) | Personal details removed after 60 days |
| Docket images | 7 days |
| Diagnostic captures | 30 days, then deleted |
| The sample docket kept when a printer is set up | Text cleared after 60 days |
| Support reports sent from a screen | 90 days |
| Records of requests to our servers, and of order notifications sent to other systems | Contents removed after 30 days; the record deleted after 90 days |
| Records of notifications sent to a screen | 30 days |
| One-time links used to set up a screen | Personal details removed after 24 hours; deleted after 60 days |
| Completed print jobs | 7 days |
| Records of emails sent | 90 days |
| Expired sign-in sessions | Removed every hour |
| Database backups | 7 days |
Account and license records are kept while you use UniKDS, and as long afterwards as the law requires for tax and accounting.
Who else sees it
We do not sell personal information, and we do not use it for advertising. It is shared only with:
- Your Uniwell dealer and its distributor, who support your screens and can see their status and settings.
- The providers who run the service for us, listed on the sub-processors page.
- Anyone the law requires us to tell.
Where it is held
Our servers, database and file storage are in Sydney, Australia. Some providers handle limited data elsewhere: crash and error reports, screen notifications and some service emails go through providers in the United States, and UniKDS service emails through a provider in the European Union. The sub-processors page lists each one.
For venues in the EU or UK, these transfers are covered by the standard contractual clauses in our data processing agreement.
Security
Traffic between screens, the back office and our servers is encrypted. Each account sees only the venues it is responsible for. PINs, keys and passwords are stored hashed. Customer names, emails, phone numbers and card details are removed from our server logs before they are written.
Your choices
- Venues can ask for their data to be exported or deleted at any time.
- A customer of a venue should contact the venue, which decides what is collected. We will help the venue respond.
- Back-office users can update their own details in the back office.
You can complain to us, and we will respond. In Australia you can also complain to the Office of the Australian Information Commissioner; in the EU or UK, to your data protection authority.
Children
UniKDS is business software for commercial kitchens. It is not meant for children, and we do not knowingly collect their information.
Changes to this policy
If this policy changes in a way that matters, we will publish the new version here with its date before it takes effect. Earlier versions remain available.
